Running a Successful Event

Once you have identified the date, club location, sponsor opportunities and budget for your event — and sanctioned your event with the USRA — follow these scheduling tips to help make your tournament a success.

8 to 10 Weeks in Advance ...
Print & Mail your event entry form
7 Weeks Out ...
Organize club volunteers and floor management
Order event shirts, trophies, awards
Hang event posters in the club
3 Weeks to Go ...
Send out advance press releases
Obtain Certificate of Insurance, if needed
2 Weeks Left ...
Confirm shirt & trophy pick up dates
Confirm hospitality, shuttle bus, entertainment, sponsor banners or decals
1 Week Countdown ...
Confirm shipment of event supplies (balls, scorecards, drawsheets, etc.)
Complete draws, set starting times
Complete display draw sheets, score cards, registration forms, starting times
Meet with volunteers to assure that those giving out starting times understand the procedure
Send out follow-up press releases
At the Desk for the Weekend ...

Running a Safe Event

Tournament Safety Precautions — Every tournament director must be familiar with an Emergency Action Plan, Emergency Telephone Call handling and Incident Reporting. The climate of today dictates that all event directors become familiar with basic risk management principles.

Emergency Action Plan — Every tournament director should be prepared to implement a proper emergency action plan. A proper Emergency Action Plan can reduce loss.

Emergency Telephone Lists — All event personnel should be familiar with the emergency telephone list.

Incident Report Form — This form, or a similar one, must be completed for every accident. An individual should be assigned this duty and be specific with regards to times of incident, witnesses, and other information.

Certificate of Insurance — If your event site has required you to provide proof of insurance, please contact the USRA – allowing three weeks for the certificate of insurance to be generated and delivered. We want your event to be safe and enjoyable for all players! For more detailed information on safety issues at sanctioned events, please request and refer to the brochure entitled “Safety Issues in Hosting a Sanctioned Event.”

Keep your Tournament Players Happy

Once you’ve signed up all your players as USRA members, prompt follow-up tournament reporting will insure that these new members receive their membership cards without delay, national ranking points will be awarded, and membership files will be updated.

Membership Cards — The USRA prints and mails membership cards to new members on the 1st and 15th of each month . When new member applications are received, either through the mail or from a tournament, they are entered into the database that business day. It is rare that data entry is delayed as much as 1-2 days, under the busiest circumstances.

Membership Benefits — All new members are entitled to play in any sanctioned event in the United States. Each member will receive six issues of RACQUETBALL magazine and be entitled to: • Secondary athlete insurance • A competitive license/membership card • National and regional rankings system • Instructor, coaching and referee certification • High performance training camps offered by the USRA • USRA Scholarships for high school seniors and college undergraduates • Event entry forms for state and regional competitions • Play in sanctioned events nationwide • Earn a spot on the U.S. National Racquetball Team
